Start with the requested document format

Check whether the upload field accepts PDF, JPG or another format before photographing the document. A passport photograph can have different requirements from a supporting-document scan, even within the same application. Do not assume that making every image into a PDF is helpful.

If the service requests individual image files, use the format it specifies. If it requests one PDF containing several pages, plan the page order before scanning. Keep your physical originals and any original digital records.

Our application workflows cover file preparation rather than deciding which evidence an authority or provider requires. Use the recipient’s current instructions to determine what must be included, how it must be copied and whether certification is necessary.

Set up the page so that the text is readable

Place the document on a flat surface and inspect the lighting before capture. Avoid a bright reflection across a glossy identity page or a shadow that hides small print. Keep the camera steady and check that the page is in focus.

Include the edges, seals, stamps and reverse side when the instructions require them. Review the captured image before moving to the next page; finding a blurred page while the document is still in front of you is easier than rebuilding an attachment later. A darker but sharp original can sometimes be more useful than a bright, blurred photo.

Do not rely on a thumbnail to judge whether small characters can be read.

Use desktop-to-phone pairing deliberately

Open Scan to PDF on the desktop and use its phone pairing flow. Scan the QR code with your phone, capture the pages, then return to the desktop session to review the collected images. Pairing transfers photographs through temporary cloud storage; it is a different data path from a local PDF operation.

Use it only when that handling is appropriate for the document and your organization’s rules. Keep the desktop tab available while completing the scan. If you prefer a device-only route, choose existing document images directly on the device where you will create the PDF.

The QR workflow is a convenience for moving between devices, not a claim that the transfer is offline.

Put the pages in the intended reading order

Review every captured page, not just the count. Check that a two-sided document includes the requested sides and that no page appears twice. Rotate sideways photographs before assembly.

Order the pages according to the recipient’s request, or use a clear reading sequence when no sequence is specified. With Images to PDF, each selected image becomes a PDF page. A photograph with a large empty background can make its actual text small on the PDF page, so inspect the output at a realistic reading size.

If the combined PDF needs page-level adjustments, pass it into Reorder pages or Rotate PDF rather than taking another unnecessary photograph.

Treat crop, cleanup and OCR as separate choices

Cropping changes the visible page area. It is not a secure way to remove private information from a PDF. Scan cleanup changes the appearance of page images; check that faint writing or small stamps remain visible after any adjustment.

OCR adds recognized text for searching or later extraction, but it can misread names, numbers and identifiers. Those operations solve different problems. Apply only the one you need and compare its output with the source.

A clean-looking page is not proof of correct recognition. An application that only needs a readable scan may not need OCR at all, while a searchable research copy may benefit from it after a final visual review.

Reduce file size only after checking the scan

Build the intended page set first, then check its exported size against the portal limit. If it is too large, try a compression target and inspect the result. Image-based compression may remove interactive features or selectable source text, so keep the original scan and any intermediate version that matters.

Check the smallest print, photograph detail and document references after compression. A strict 100 KB target may be unrealistic for a multipage document. Use a better source capture or another permitted attachment arrangement before sacrificing required detail.

Do not keep reducing quality simply because the upload field still rejects the file. The recipient must be able to use the evidence.

Make one final review before uploading

Open the exact exported PDF and compare it with the source documents. Verify page count, orientation, names, dates, required reverse sides and any instructions about margins or visible page edges. Check that you are attaching the correct applicant’s document and that no unrelated personal record is included.

Save a clearly named copy to your device and then use the recipient’s own submission process. Downloading the file from YourFreePDF does not complete the external application. Retain the original capture until you know the delivery copy is usable.

If you have doubts about a certification or photographic requirement, check with the recipient rather than assuming an editing tool can make the file compliant.
